What it is
What an AI WhatsApp chatbot does for your business
An AI WhatsApp chatbot is an assistant connected to your business number. It understands what customers write, replies from your information, collects the details your team needs and resolves or routes each request. It takes repetitive work off your team's hands rather than replacing them.
IAB Spain's Social Media Study 2026 ranks WhatsApp as Spain's most used social platform, so it's often where customers first ask about prices, availability, orders or appointments. A well-built WhatsApp chatbot for business replies instantly, asks for what's missing and leaves each conversation ready to close.
From Palma de Mallorca, we build them for companies across Spain and abroad on the official WhatsApp Business API, connected to your CRM and automation and to reliable tracking, so you can see which chats turn into sales or bookings.
In depth
WhatsApp Business app or the API: which do you need?
The free WhatsApp Business app is for replying by hand from a phone. The WhatsApp Business API, or WhatsApp Business Platform, plugs into your systems instead, so you can automate with AI, share one number across a team and connect your CRM.
You can use Meta's Cloud API directly or go through a Business Solution Provider (BSP) that adds an inbox and support. Either way, the number, account and logins stay in your company's name.
- App: manual replies, few users, light integrations.
- API: AI, multi-agent inbox, CRM, templates and analytics.
- For customers, it's the same WhatsApp chat.
In depth
What the WhatsApp Business API costs in 2026
As of October 2026, Meta bills per message and only charges for templates. Ordinary replies inside the 24-hour customer service window are free, and so are utility templates sent within it. Marketing and authentication templates are billable, and utility templates are charged outside the window.
This model has applied since 1 July 2025, so we design chatbots to resolve requests inside the window and save paid templates for useful messages such as reminders or order confirmations. Rates vary by country and category; we check Meta's current rate card for each proposal.
Chats started from a Click-to-WhatsApp ad or your Facebook Page's call-to-action button open a free 72-hour entry-point window, provided you reply in time. That's why we plan WhatsApp automation and paid social together.
The total cost has three layers: Meta's message fees, any BSP fee, and building and running the assistant, including AI usage. We itemise each one.
In depth
Are AI chatbots allowed on WhatsApp?
Yes. Since 15 January 2026 (15 October 2025 for new users), Meta's policy has excluded providers whose main product is a general-purpose AI assistant from the WhatsApp Business Solution. Businesses that use AI for their own customer service, FAQs, bookings, order tracking and sales are still allowed to.
So a 'ChatGPT inside WhatsApp' is out, while a WhatsApp AI agent that talks about your menu, deliveries or courses is in. Every assistant we build is scoped to your business.
Context as of October 2026: on 9 June 2026 the European Commission ordered Meta, as an interim measure pending its final decision, to restore access for third-party general-purpose assistants. Business-scoped assistants are unaffected.

Use cases: where a WhatsApp chatbot adds the most value
A WhatsApp chatbot adds most value when similar questions pile up, when speed decides the sale or booking, and when details must be collected before a person steps in. These are the most common use cases, each scoped to the business.
Not sure yet where AI fits in your business? Start with AI consulting.
- Hospitality and restaurants: availability, table or room bookings and pre-arrival questions.
- Ecommerce and retail: order status, returns, sizing and in-store stock.
- Health and wellness: booking and reminding appointments, with no health advice; clinical questions go to a professional.
- Education and training: courses, timetables, entry requirements and enrolment follow-up.
- Professional services: enquiry qualification, document collection and meeting scheduling.
- SaaS and technology: first-line support, demo requests and service notices.
- Bespoke quotes: a complete brief handed to your team.

Promotional messages and consent
You can send promotional WhatsApp messages to people who have agreed to receive them. Spain's LSSI bans commercial messages by electronic means without a prior request or express consent, except to existing customers about similar products, with an easy opt-out in every message.
WhatsApp's policies also require opt-in before you message someone first. We collect it where the relationship starts (web form, checkout, counter or chat), log when and how it was given, and send campaigns only as Meta-approved marketing templates. No bought lists: they lack valid consent for your business and hurt your number's quality rating.

Disclosed AI, privacy and a hand-off to a person
Since 2 August 2026, Article 50 of the EU AI Act has required that people are told from the start when they're talking to an AI, unless it's obvious. Every WhatsApp chatbot we build introduces itself as an AI assistant and offers a person at any point.
Privacy is built into the chat: a short first-layer notice linking to a full GDPR policy (controller, purposes, legal basis, recipients, transfers, retention and rights, including complaints to the AEPD, Spain's data regulator), and only the data genuinely needed.
Hand-off is part of the product. On a complaint, a sensitive request, a knowledge gap or a direct request, the assistant passes the chat to your team with a summary. Spain's Ley 10/2025 requires large companies to offer a human on request by 28 December 2026; we build it in for everyone.

CRM, ads and measurement integration
A WhatsApp chatbot pays off when every conversation is logged with its source, details and outcome. We connect it to your CRM, calendar, shop or booking system and track every path from first message to outcome.
Contacts land in your CRM with the reason and source of each enquiry, chats reach the right person, and order or stock data comes live from your ecommerce platform. Chat conversions flow back to your ad platforms, and your site's WhatsApp buttons feed conversion rate optimisation tests.
- CRM: HubSpot, Pipedrive, Salesforce or any CRM with an API.
- Calendars and bookings: Google Calendar, Calendly or your own system.
- Dashboards: conversations, hand-offs and outcomes.

What it is not
What this service is not
- Not bulk messaging to bought lists or contacts without consent.
- Not a general-purpose assistant: it only talks about your business.
- Not a replacement for your team: a person is always one step away.
- Not a source of personalised medical, legal or financial advice.
- Not a lock-in: we never register numbers or accounts in our own name.
- Not a promise of set sales or bookings: we measure and improve, with no guarantees.

- You need human service on request and want to automate within the rules.
Compliance
Rules and policies we apply
Practical notes, not legal advice: your own advisers should review your legal texts.
WhatsApp's AI policy
Since 15 January 2026, Meta's policy has excluded general-purpose AI assistant providers (in the EU, subject to a June 2026 Commission interim order); AI for your own service, bookings and sales remains allowed.
EU AI Act, Article 50
Since 2 August 2026, people must be told at the start that they're talking to an AI, with fines of up to €15 million or 3% of worldwide turnover.
GDPR, LOPDGDD and LSSI
A first-layer notice in the chat, a legal basis for each use of data, prior consent for commercial messages and an opt-out in every send.
Ley 10/2025 on customer service
Large companies (250+ staff, turnover above €50 million or a balance sheet above €43 million, group level included) and basic-service providers must comply by 28 December 2026: no automation-only service, a person on request, and co-official languages such as Catalan where the service targets those regions.
FAQ
Frequently asked questions
How do I set up a WhatsApp chatbot for my business?
You need a WhatsApp Business Platform account (with Meta or via a provider), a verified number in your company's name, a knowledge base and a conversation design with AI disclosure and a human hand-off. We handle all of it.
How much does the WhatsApp Business API cost?
Meta charges only for template messages: marketing templates always, utility templates outside the 24-hour service window, and authentication templates at their own rate. Replies within the window are free. On top come any provider fee and the chatbot's build and upkeep.
Are AI chatbots still allowed on WhatsApp in 2026?
Yes, for your own company's customer service, bookings, orders and sales. Since 15 January 2026, Meta's policy has excluded only providers whose main product is a general-purpose AI assistant.
What's the difference between WhatsApp Business and the WhatsApp API?
The app is free and built for manual replies from a phone. The API connects to your systems and supports AI, multiple agents, CRM, templates at scale and analytics. An AI chatbot needs the API.
Can I send promotional WhatsApp messages to my customers?
Yes, with their consent. The LSSI requires a prior request or express consent, except for existing customers about similar products with an opt-out in every message. WhatsApp also requires opt-in.
Can a WhatsApp chatbot hand over to a person?
Yes, and ours always can: when the customer asks, on complaints or sensitive requests, or when the answer isn't in your information. Your team gets a summary. For large companies in Spain, Ley 10/2025 makes it mandatory.
What if the chatbot doesn't know the answer?
It's designed not to improvise. It answers only from your approved information and, when something's missing, offers a person or takes details for follow-up. No AI is error-free, so we review those chats.
Which languages can the chatbot handle?
The ones your customers use. It detects the language and replies in your brand's tone, in English, Spanish, German, French, Catalan and more, with templates approved in each language.
How is this different from your AI agents service?
This service covers WhatsApp: the API, templates, message costs, opt-in and Click-to-WhatsApp ads. For website chat, voice agents or an AI receptionist, see AI agents; both can share one knowledge base.
Who owns the number, the chats and the data?
Your company. The number and account are in your name, you are the data controller and we act as processor under a written agreement. Change provider and you keep the number, templates and documentation.
